VOLUNTEER

SCYO is run behind the scenes by parents, musicians, old friends (alumni), and friends. There is always room for more, even just to help out for specific tasks occasionally! Community members are welcome to join to get to know fellow music lovers, get a great sense of accomplishment helping out young musicians and belonging to a musical organisation, and pick up some new skills.

Executive Committee positions

The executive committee hold approximately monthly meetings to meet SCYO constitutional requirements and operate effectively. Committee positions must be held by associate members.

President

Good if you: Like to plan, can delegate, and have good people skills. Time commitment: Steady throughout the year, depending on how much you can delegate, but it’s worth it!

Responsibilities:

  • leadership, advice, committee priorities, and long-term planning
  • Delegates and follows-up tasks
  • Organise and chair committee meetings

Vice President (2)

Good if you: Like to plan, can delegate, and have good people skills. Minimum time commitment: One monthly meeting, and some time during the week during terms.

Vice President

Responsibilities:

  • Assist the president with duties as listed above
  • May take on a specific roles, such as events coordinator, volunteer co-ordinator, membership officer, be a public face

Secretary

Good if you: Like to keep up with what’s going on, are organised, and can write well. Minimum time commitment: One monthly meeting, monitor email, occasional report, and a little time to distribute minutes.

Responsibilities:

  • Circulates agenda for meetings and takes minutes
  • Record keeping in Google docs
  • Correspondence

Treasurer

Good if you: Have experience with management accounting and can spare a few hours each week during terms

Treasurer

Responsibilities:

  • annual budget preparation, account keeping
  • financial reporting for planning/auditing purposes.
  • can be assisted by others doing cashier and or book-keeping activities.

Committee member (2)

Good if you: Have little experience but are willing to learn. Minimum time commitment: One monthly meeting, and sometimes time during the week during terms.

Responsibilities:

  • Take responsibility for various tasks within your kowledge and ability as delegated by the President

Volunteer positions

Volunteers can help out for individual events, a role, or some behind the scenes activity that doesn’t require a certain timeslot or availability.
Volunteers can simply volunteer at any time by talking to a executive committee member, responding to emails if relevant, simply attending a Wednesday night rehearsal and making yourself known, or contacting us!

Other roles that can be casually filled, (and that are preferred filled), are:

Event Coordinator

Good if you: like planning events and making them happen. It would suite someone who has some time during the week. You can co-ordinate one or more events, and you don’t necessarily need to attend every rehearsal.

Responsibilities:

  • planning and co-ordination of events with the Director of Music
  • venue booking
  • recruiting and delegating: supervision, setup, stage management, catering, transport, programs and advertising.
  • Master of Ceremonies.

Cashier

Good if you: can attend most SCYO rehearsal nights, at least in first term, because there are often some receipts taken and some payments to be made. Minimum time commitment: Some time during rehearsal, mostly at the start of the year when fees are being collected.

Responsibilities:

  • Accepting payments from members and issuing of receipts
  • Banking
  • Providing the treasurer with a summarised list of banking.
  • Overseeing sales counter at events
  • Assisting the Treasurer

Book keeper

Good if you: have QuickBooks Enterprise Online experience, and a very good understanding of bookkeeping using chart of accounts and items.

  • Processing Invoices, Credits
  • Entering bills
  • Debtors & Creditors
  • Working with the Cashier, and assisting the Treasurer

Trailer packer/driver

Good if you: Have a medium to large vehicle and can spare a bit of time each side of a performance

Responsibilities:

  • attend Chancellor State College and assist with trailer packing
  • drive to performance venue and enable unpacking
  • Similar process in reverse at end of performance

First Aid Officer

Good if you: Are trained in first aid and attend rehearsals. Minimum time commitment: Apart from being available at rehearsals and events, hopefully none.

Responsibilities:

  • Available at all rehearsals and events to administer first aid (must be trained)
  • Ensure everyone knows you are the first aid officer and where to find you
  • Take first aid kit to events

Instrument officer

Good if you: like to work on projects. Minimum time commitment: Some time getting organised at the start of the year, then keeping track of items.

Responsibilities:

  • Maintain a database from existing SCYO records of all SCYO instruments and equipment.
  • Do a stock-take and ensure all SCYO items are suitably labelled.
  • Manage the instrument loan record keeping
  • Ensure instruments are serviced

Photographer

Good if you: Have a flair for photography and love to see your work appreciated. Minimum time commitment: Some time during events and processing/uploading afterwards.

Photographer

Responsibilities:

  • Take photographs or video at SCYO events
  • Manage image files and select for publishing or archival
  • Upload photographs or video to facebook.

Event Recorder

Good if you: like recording history of events. Minimum time commitment: Apart from being available at rehearsals and events, hopefully none

Event Recorder

Responsibilities:

  • understand the run sheet for the event
  • liaise with photographer to ensure range of appropriate photos taken>/li?
  • after the event, write up short interesting article and supply to Secretary and website editor

Website editor

Good if you: have some experience with content systems such as Word Press. Minimum time commitment: Some time each week keeping content relevant.

  • using information supplied from Director of Music, committee and event recorder, update the website
  • keep the website fresh and interesting

Ensemble Manager

Good if you: like working with people to make . Minimum time commitment: To be available at every rehearsal and performance.

  • take the role
  • communicate and coordinate actions with parents and musicians
  • maintain the database of ensemble members.

Ensemble Librarian

Good if you: like ensuring that valuable assets are well looked after. Minimum time commitment: Available at most reharsals to prepare music and collate returned originals

Ensemble Librarian

Responsibilities:

  • ensure all new music is stamped with SCYO and numbered
  • collate each chart onto ensemble order upon return
  • ensure music asset list is updated
